IMPORTANT - PLEASE READ !!

Before completing this form please read our standard booking Terms and Conditions. If referring to other pages of our website during completion of this form we recommend that you do so by opening another window to ensure that you do not loose the information already entered on this form. Please have your passport to hand. If you have any concerns over your skills or ability to perform successfully at a competent and safe level on your intended expedition please contact our office prior to completion of this form. Tangent can offer bespoke training in either the UK, the European Alps or in Greenland in preparation for joining your expedition. Upon receipt of your booking form you will receive a confirmation of your acceptance on to the expedition or tour and will be sent links to further information that you must read within 7 days. This is to comply with the Distance Selling regulations and allows you adequate time to cancel this agreement after having read the required information. The documents will include information regarding our Safety Policy, Risk Assessment & Management Structure, Snowmobile and Boat Operations policy, Guiding Protocol, Child Protection policy, Environmental policy, Communications policy, Equipment list, Food list, Medical & First Aid kit contents, Dangerous Animals in Greenland, and Permit Stipulations. If you wish to download and view any of these documents prior to booking then please contact our office to request a password to access the Client Log In section of our website, where links to the relevant documents can be found. Fields marked with an asterisk (*) must be filled in.

Your venture is provided by Tangent Expeditions Limited to British Standard BS8848, Specification for the provision of visits, fieldwork, expeditions and adventurous activities outside the UK. Tangent follows the professional standard and principles set out by the BS8848 British Standard for overseas expeditions and has been externally and independently assessed by the Young Explorers Trust (YET).

TRAVEL DETAILS & INSURANCE
As described in the website description of this tour the price does not include international flights to Iceland from your home country. Tangent strongly advises that all clients book flexible fares and flights that give an alternative contingency arrangement if your planned flight is delayed or cancelled. This can be done by booking a morning flight with a later evening option or by arriving in Iceland with a full day spare before the day the trip starts. We also advise at least one spare day in Iceland at the end to allow for delays or recommend purchasing a flexible airfare.

Do you currently have worldwide travel insurance that you intend to use for this expedition?



If not, Tangent will contact you with the possibility of inclusion in a group travel policy that is usually highly competitive. Clients using their own travel insurance policies must ensure that they include suitable cover for Search & Rescue, evacuation, air ambulance flights, medical expenses and repatriation to their home country or country of first departure. Please send a copy of your policy schedule to our office for evaluation.

Do you intend to use British Mountaineering Council (BMC) insurance? If so, please forward a copy of the policy (and Insurance Statement if applicable)



For Icecap Crossings and Watkins Mountains expeditions it is a requirement of the expedition permit and stipulations laid down by the Greenland authorities that clients arranging their own insurance cover for Greenland must get their insurance agents and underwriters to sign a formal statement as a guarantee that appropriate cover is in place. A copy of this statement can be downloaded from our website. Please send to your insurance agents for signing and return the completed form to Tangent. Please ensure that you personal travel insurance includes cover for any personal equipment sent as sea or air freight.

PERSONAL BAGGAGE ALLOWANCE
The baggage allowance on most flights from European cities to Iceland and between Iceland and Greenland is maximum 20kg plus 5kg hand baggage. Please check with your airline for specific details. All excess baggage charges will be the responsibility of the individual client.
For UK clients providing their own tents these can be sent out in advance with the main expedition freight consignment free of charge. It is the client’s responsibility to ensure that these items are packaged safely, securely and are well protected. Any costs of delivery and/or collection of these items to/from Tangent’s store near Kendal are the client’s responsibility. For clients hiring tents from Tangent these freight charges are included in the hire charge. For clients who wish to hire or send out ski equipment from the UK with the advance freight shipment there is an additional charge of £5 per kilo each way to/from Iceland. For all clients the charge between Iceland and Greenland is a further £10 per kilo each way.
For client’s who anticipate exceeding their standard baggage allowance, or who just wish to travel light, it is possible to send out personal items of baggage with our main expedition freight consignment at a total cost of £15 per kilo each way.

Please note that due to very tight payload restrictions of Twin Otter and helicopter supported expeditions it is not normally possible for clients to have their own individual tent. If it is strong preference for you then please contact our office to discuss the possibility for your expedition. If renting a tent from Tangent the hire cost will of course double.

BOOKING & PARTICIPATION STATEMENT
On behalf of the person detailed on this form I would like to apply for a position on the above mentioned expedition and confirm that I am authorised to make this booking and have read, understood and agree to the standard booking Terms and Conditions. I confirm that I have read, understood and agree to abide by all the information and documents referred to at the top of this booking form and as listed in the email sent to me detailing the booking procedure.

Due to the nature of mountaineering and ski-touring in Greenland and the Arctic I understand that some Tangent Expeditions do not always include individually guided services. I understand and accept that from time to time some groups may split up, and small subgroups may climb and/or ski independently. I acknowledge that if I join one of these sub groups I am no longer operating under the Direct supervision of the guide and that I am sufficiently skilled and experienced to be able to operate safely and independently within such a smaller non-guided sub group in an arctic expedition context. I acknowledge that I have read, understood and accept the leadership style definition and approach for the expedition that I have chosen to join.


Direct and Indirect Supervision

Direct Supervision is where the expedition leader manages the participants during all or part of the venture with the ability to intervene in person immediately. Direct Supervision will include when individuals are undertaking particularly hazardous activities where the leader has overall responsibility for the safety of the group. During this time the leader must a) know where all participants are at all times, b) enforce risk control measures as appropriate to the activity and environment, c) observe behavioural changes in the group or individuals (such as checking for signs of altitude sickness, sunburn, sun blindness, tiredness, weakness, psychological changes, group dynamics, etc)

Indirect Supervision is where the expedition leader manages the participants during all or part of the venture without the ability to intervene in person immediately. Indirect supervision will include when the leader is satisfied that the group or individual participants have the necessary competency for the activity to be supervised indirectly. In this situation the leader must advise the individual participants that they are no longer under the direct supervision of a Tangent leader and are responsible for their own immediate safety and well being during this period.

Personal Time and Down Time

Personal time is defined as those periods during an expedition when an activity is not being undertaken but participants remain under the supervision of the leadership team. The leader still has overall responsibility for the group but participants are free to involve themselves in other personal and "non-outdoor activity" pastimes, subject to the leader's assessment that the client is acting safely and within their overall experience and competence.

Down time is defined by periods of time occurring within the overall duration of the venture but beyond the jurisdiction of Tangent Expeditions. This will include all time spent in Iceland in transit and additional periods of time at the beginning and end of an expedition at Constable Point, as advised and agreed at the time.

I understand, accept and agree to the above definitions and implications of Direct Supervision, In-Direct Supervision, Personal Time and Down Time. Following the end of any period of Down Time I agree to present myself in a state ‘fit for purpose’ in order to continue with the expedition. If I present myself in a state ‘not fit for purpose’ due to, but not limited to, injury, illness, drunkenness, or unstable emotional or psychological state, I understand and accept that I will not be allowed to rejoin the expedition and that all such costs associated with my inability to successfully and safely rejoin the expedition will be my own responsibility.

I understand, agree and accept that solo climbing, skiing and mountaineering attempts or journeys are NOT allowed by the Greenland authorities and are NOT covered under the expedition permit or under the standard terms of many search and rescue insurance policies.

I understand and accept that in the case of search and rescue and medical evacuation, delays of several days can occur before the start of such operations due to weather conditions and due to the complex logistics required to reach many of the remote mountain areas in Greenland and the Arctic. This could result in the deterioration of any medical condition due to accident, injury or illness, possibly resulting in death.

I have read and understood the behaviour policy relating to Tangent organised expeditions. I understand, accept and agree to comply with the policy and the consequences of inappropriate behaviour as described in Tangent's standard booking Terms and Conditions.

I agree that medical care in the mountains will be of a less satisfactory nature than that normally available and that medical first aid and advanced medical care will only be exercised in a manner consistent with individual’s skills, training, experience and recognised procedures, including medical care between clients and between clients, leaders and medical officers

I agree to send the stated deposit amount for this trip within 7 days of the submission of this form. Payment can be made by UK sterling cheque payable to “Tangent Expeditions Ltd” or contact us for bank transfer details. An additional £2.50 (€3) will be added to your booking invoice for the ATOL (APC) payment contribution and should be added to your deposit payment.

Weather and transport delays of several days can and do occur on expeditions. Any additional and related flight, travel, or accommodation charges are the client’s own responsibility. No refunds of whatsoever nature can be made for weather related delays because of the nature of Tangent's pre-expedition contractual agreements with our suppliers.

This completed Booking Form represents your legal contract and commitment to join this expedition with Tangent Expeditions Ltd. We recommend that you print and retain a copy for your records. Upon completion of this Form you authorise Tangent Expeditions Ltd to add any of the above mentioned additional services requested, and their related costs as detailed on this Booking Form, to your invoice. Your invoice will be sent to you upon receipt of both this Booking Form and the required deposit amount as outlined on the website tour description of this expedition. Please refer to our standard booking Terms and Conditions relating to cancellation and curtailment charges. In relation to the Distance Selling Regulations you have a 7 day right to cancel this contract.

Please note that you are responsible for ensuring that you meet the relevant passport and visa requirements for the country you intend to visit.

If any of the details supplied on this form change between time of booking and time of departure please advise Tangent Expeditions immediately.
